General Guidance on use of Operators

Each time that you select a data field to search on, EDICS determines the type of search operators which are valid as follows:

The = operator should be used when you want to find an exact match to the criteria you specify.

The < (less than) operator should be used when you want to find all values less than the number or date that you specify. The > (greater than), <= (less than or equal to), and >= (greater than or equal to) operators provide analogous searches.

The IS NULL operator will search for all occurrences where no information is entered in the subject field, i.e. the field is blank. The IS NOT NULL operator will search for all occurrences where ANY information is entered in the field, i.e. it is not blank.

The LIKE operator is a text-search operator which searches for all occurrences of the specified criteria. It is used on text fields, and is set up to follow the following rules:

Collection Package Data Fields Available for Ad Hoc Report

A number of data fields relating to collection packages are available both for use as search criteria and for inclusion in a report. Each of these data elements exists once for each collection, and they are described in Table E-1 below. Note the following when using these data fields:

  1. Data Fields which can take on only Y/N (i.e. Yes/No) values are useful to use as search criteria but usually not useful as report columns. If used as a report column, the field will be blank if it is No and will contain an "X" if it is Yes.
  2. Only unique occurrences are included in the output report. Therefore, for example, if you search on collections with Affects Farms = Y and include Current OMB Control Number as the output column, you may get a different result than if you report on Current Tracking and OMB Number. This is because the latter will include a separate entry for each version of collections with the same OMB Control Number.

Collection Package Related (many-to-one) Data Fields Available for Ad Hoc Report

There are an additional set of data fields which are available for searching and for reporting which are collection package-related but which occur zero, one, or more times for each collection. Therefore the the guidelines for use of these elements is different. The descriptions of these data elements are provided in Table E-2 below. Following is some important guidance on use of these data fields:

  1. Some of these fields will have available the IS NULL and IS NOT NULL operators; however these operators will not work as expected because in this case NULL values are replaced with text indicating that there are no occurrences. Thus, for example, if you performed a search for all collections which have Current Status = pending and then display the Current Tracking and OMB Number and Linked Data Elements for each, a collection with no linked elements will appear in the report as follows:

    If you want to find collections with no data elements linked, you can search for Linked Data Elements = No elements linked rather than for Linked Data Elements IS NULL.
  2. It does not usually make sense to include in the report columns from more than one category at a time. For example, if you include information locator and statute citation data fields in the same report, you will get all combinations of each entry for each collection.

When data elements rather than collection packages are selected for reporting, a different set of data fields are made available for searching and reporting. Table E-3 describes the data fields which are associated with each data element (exactly one occurrence per data element, no more and no less).
